Adding a New Supplier's Details

The steps below describe how to add a new supplier's details into Princost.

Before You Begin

Before adding a supplier, display the Supplier Master window.

To do this, on the left-menu, under A/cs payable, click Supplier.

To add a supplier:

  1. On the button bar, click New.
    • Result: You will be requested to enter a credtior code.
  2. In the Creditor Code field, type a unique code that will identify the supplier, then click OK.
  3. Complete all Supplier Details fields.
  4. In the Contact Details frame, click New and complete all Contact Details fields.
    • Note: The contact person should be the customer services representative that looks after your account.
    • Note: To add another contact person, repeat Step 4.
    • Note: To set the contact as the primary contact, select the contact, then click Set Def.
  5. Complete all relevant business / accounting fields.
    • Our Code: (Optional) Enter the code that your supplier uses to identify your company.
    • Bank Account No: (Optional) Enter the supplier's bank account number.
    • Terms: (Optional) Select the payment terms agreed to with your supplier.
    • Statement Discount: (Optional) Enter the discount agreed to with your supplier.
    • Credit Limit: (Optional) Enter the credit limit agreed to with the supplier.
    • Tax Number: Enter the supplier's tax number. This may be the suppliers GST or VAT number.
    • Default GL Code: (Optional) Click the right pointing arrow and select the relevant expense code from the chart of accounts, then click Accept. All transactions with the supplier will be posted against this code.
  6. (Optional) Add a note or send a message.
    • Note: To do this, click Log Entry to display the Add Note window. You can send this note to any other Printcost user by selecting the relevant users. Click Proceed when you are ready to save and/or send the note.
  7. (Optional) Set a monthly budget.
    • Note: To do this, on the far-right Budget table, click the relevant fields and type a budget for each month.

What Next?

To add another supplier's details, click New and repeat the above steps.

To display a list of all suppliers, on the top-left of the window, click List.


Modifying a Supplier's Details

The steps below describe how to add a new supplier's details into Princost.

Before You Begin

Before modifying a supplier's details, display the Supplier Master window.

To do this, on the left-menu, under A/cs payable, click Supplier. Select the relevant supplier from the list, then click Details.

  1. Where relevant, update the Supplier Details fields.
  2. Where relevant, update the Contact Details.
    • Note: To add a new contact, in the Contact Details frame, click New and complete all Contact Details fields.
    • Note: To update a contact's details, select the relevant contact, then overtype the contact's details.
    • Note: To ensure that a specific contact's details are automatically used, select the contact, then click Set Def.
    • Note: The contact person should be the customer services representative that looks after your account.
    • Note: To add another contact person, repeat Step 4.
  3. Modify the relevant business / accounting fields.
    • Our Code: (Optional) Update the code that your supplier uses to identify your company.
    • Bank Account No: (If required) Update the supplier's bank account number.
    • Terms: (If required) Select the payment terms agreed to with your supplier.
    • Statement Discount: (If required) Update the discount agreed to with your supplier.
    • Credit Limit: (If required) Update the credit limit agreed to with the supplier.
    • Tax Number: (If required) Update the supplier's tax number. This may be the suppliers GST or VAT number.
    • Default GL Code: (If required) Click the right pointing arrow and select the relevant expense code from the chart of accounts, then click Accept. All transactions with the supplier will be posted against this code.
  4. (Optional) Add a note or send a message to other Printcost users.
    • Note: To do this, click Log Entry to display the Add Note window. Click Proceed when you are ready to save and/or send the note.
  5. (Optional) Update the monthly budget figures.
    • Note: To do this, on the far-right Budget table, click the relevant fields and type a budget for each month.

What Next?

To update another supplier's details, on the top-left of the window, click List, select the relevant supplier, click Details, then repeat the above steps.


Emailing a Supplier from Printcost

Before You Begin

Before emailing a supplier, display the Supplier Master window.

To do this, on the left-menu, under A/cs payable, click Supplier. Select the relevant supplier from the list, then click Details.

To email a supplier from Printcost:

  1. On the Supplier Master window, Details pane, select the relevant contact.
    • Note: If more than one contact is listed, an asterisk usually identifies the primary contact.
    • Note: To set a contact as the primary contact, select the contact then click Set Def.
  2. Click Fax / Email.
    • Result: The Printer Control Screen window is displayed.
    • Note: The selected contacts details are automatcially displayed in the relevant fields.
  3. Review all recipient and sender details, and update where relevant.
  4. In the Email Message field, type a message and select Save Message.
    • Note: Clicking Save Message places your message in the body of the email.
    • Important: If the message is not saved, it will not be included in the email.
  5. When you are ready to send the email, click Send.
